Understanding Books And Documents In Adobe InDesign

Whenever you choose New from the File menu in Adobe InDesign, you may have noticed the option to create a new book without ever knowing exactly what a book is. Well, it turns out that books are a pretty cool feature: they allow you to take a bunch of related InDesign document and treat them as a single entity; a book. All documents in the book can then share the same resources such as paragraph and character styles, colour swatches, master pages, sections and page numbering.

Once you’ve created a book, by choosing File-New-Book, the Book panel is displayed. It contains a panel menu with all the options necessary for managing a book. The first task is to add some documents to the book: from the Book panel menu, choose “Add Document” and select the documents you want to be treated as part of the book.

When the book file is saved, the book becomes a separate entity to the documents it contains and the documents in a book do not have to reside in the same location as the book or as each other. To save a book, choose Save Book in the Book panel menu.

Next specify which of the documents in the book will be treated as the style source. The document elected as the style source will be used as the master document in the process known as synchronization whereby InDesign replaces the colour swatches and styles of all documents in the book with those in the style source document.

To set page numbering across the whole book, choose Book Page Numbering Options in the Book panel menu. The default is “Automatically Update Page & Section Numbers”: this will cause InDesign to number pages in the documents within the book according to the order in which they are listed in the Book panel.

You can replace an existing chapter of a book with another InDesign document by simply selecting an existing book chapte and choosing Replace Document from the panel menu. Next, navigate to the replacement document and double-click to select it. InDesign will then replace the selected chapter with the new document. Deleting chapters from a book is equally straightforward. Just highlight the chapter(s) and choose Remove Document from the panel menu, or click the Remove Document icon at the bottom of the Book panel.

Books are a terrific tool for division of labour since the fact that a document is part of a book does not stop it from being a regular InDesign document. If a book contains ten documents, ten different people can work on each of those documents and then, at the end, the whole book can be preflighted, printed and output as PDF as a single unit.

Both tables of contents and indexes can also be generated for an entire book as well as for a single document. Simply create the table of contents or index in the normal way but activate the option “Include Book Documents”.

When using computers the one thing guaranteed to fail is your hard drive. OK, some of the new systems use flash drives but they also fail without notice. You may be asking yourself how I know this. Simple, I have had numerous old and new hard drives fail as well as CF cards I use for my executive portrait photography business. I also have a platinum wedding band store on line that requires me to keep sales and warranty information secure for several years after a client makes a purchase.

We all know flash drives don’t have traditional moving parts so they are less likely to fail but they can and do quit working. Of course the one drive that fails will have all your most valuable date that must be saved. No one knows why these things happens but it is always the important information that gets lost.

You can have a dual drive system inside your computer, which will take care of drive failure and even many viruses that could force you to delete all files off an infected drive. This may be a great system until you have a break in and they take your computer.

I can already here people saying why not use an external hard drive for back up. Again this does work and will save you most of the time until the cat, dog or small child knocks the drive off your desk or the new roof leak drips just enough to ruin the drive placed on the floor where you thought it would be safe.

Another option is burning DVDs or Cd’s but that takes time and they seem to scratch at random. You would also have to have a bank lock box to keep them off premises in case of water, fire or theft. That gets costly and will fill up fast if you store a lot of data. Just like hard drive failure nothing will happen until the one day you forget to take the disk to the bank and it ends up damaged or stolen.

The best solution I have found is to use one of the above plus a second off site source. While many have heard of Mozy and Carbonite on line back up you can search the Internet and find several less advertised companies. The one factor I have been comparing is length of the back up. As a photographer I need to keep photo files for years and that is just too much information to keep on my desktop and don’t trust a DVD or external drive alone. I wanted a service that would hold my files until I removed them. Most do a great job at back up but delete the file 30 days after you remove, or accidentally erase it from your hard drive. Others may accept external drive data but require you to plug the drive in before the 30 days is out to prevent removal.

After much research I found a system using Amazon servers that will allow me to upload up to 4 drives within one account for under $10.00 per month. Actually I have 7 drives on the account. 3 hard drives from my desk top which counts as one computer or unit, 2 external that are each counted as a drive and my laptop with 2 internal drives. My upload speed is several GB a day so it can keep up with most of my new jobs within a few hours.The files stay as long as I am a member. I can erase them from my system and they stay in my external back up. No more 30-day time frame to worry about. They offer a 1GB free account, which may be good for student laptops and 15-day free trial for unlimited storage accounts.

The system I use is Elephant Off Site Back-up . I use it for my executive business portrait business and sleep sound at night knowing my files are secure.
